The data collected varies depending on the context of your interactions with UbiMap, the products, and the features you use.
You can decide what data you wish to share, including in the UbiMap footprint collected after installing our software on your computer. This footprint, based on a declarative mode, collects data about your organization (business or administration), its commercial environment, and its development strategy.
When we ask you to provide personal data, you may refuse. However, the UbiMap Service requires certain personal data because it allows us to offer you the Service.
If you choose not to provide the required data that enables us to offer a product, service, or feature, you will not be able to use the UbiMap Service in its entirety.

UbiMap Service Provided by Your Organization
This notice is intended for end-users of our Service.
If you use the UbiMap Service or an email address or other means of authentication to access the UbiMap Service and this Service or email address or authentication method has been provided by an organization to which you are affiliated, such as an employer or administration, this organization may request that UbiMap:
- Control and manage your UbiMap product and account, including controlling privacy-related settings for the product or account.

When interacting through social networks via the UbiMap Service, other users of these networks may see part of your activity.

UbiMap is not responsible for the privacy or security policies or practices of our clients, which may differ from those outlined in this privacy statement.
Your UbiMap Account
Through a UbiMap account that you create when registering on our website, after downloading our software, or through your organization's registration, you can log into the UbiMap Service. Access to services from partners integrated with UbiMap software may require separate registration with those partners.
Personal data associated with your UbiMap account includes identifiers, name and contact information, payment data, device and usage data, and information related to the organization to which you are affiliated. Using SSO (single sign-on) technology, logging into your UbiMap account provides a consistent experience across all UbiMap products, using data storage in UbiMap's private cloud located in mainland France, enabling payments through the payment instruments (provided by Stripe, https://stripe.com) stored in your UbiMap account, and activating additional features offered by UbiMap.
There is only one type of UbiMap account:
- When you or your organization (e.g., an employer or an administration) create your UbiMap account linked to the email address provided by the organization, we refer to this as a professional account.
Access to your UbiMap account, which allows you to benefit from the full UbiMap Service, is protected by SSL/TLS encryption and SSO technology provided by our technical partner Auth0 (https://auth0.com).
Focus of the UbiMap Service
UbiMap only provides products and software primarily designed and offered for use by professionals, businesses, or administrations and their employees or affiliates.
This includes:
- Cloud services for backing up UbiMap account-related data and license-related settings for UbiMap software.
- Data science services or services aimed at complementing existing features.
- In case of a conflict between this UbiMap privacy statement and the terms of any contract signed between a Client and UbiMap regarding access to and use of the products, the terms of that contract will prevail.
You can also learn more about the features and settings of our products, including choices that affect the protection of your personal data or that of your end-users, in the terms of use (CGU) displayed at the first start of the UbiMap software or present in UbiMap contracts.
If any of the terms below are not defined in this privacy statement, the definitions below apply.
General Information:
When a client tries a UbiMap product, purchases it, uses it, subscribes to it, or receives support or services related to that product, UbiMap collects data to provide the service, offer the best experience for our products, and communicate with the client.
Example:
- When a client contacts a UbiMap salesperson, we collect their name, contact details, and information about their organization (listed in the web footprint) to ensure smooth communication and the proper functioning of the Service.
- When a client interacts with UbiMap support staff, we collect device or usage data or error reports to diagnose and resolve technical issues.
- When a client purchases products, we collect contact and payment data to process the payment.
- When UbiMap sends communications to a client, we use data to personalize the content of the communications.
- When a client contacts UbiMap, we collect the name and contact details of the client's designated point of contact and use the information provided by the client to carry out the services requested.
- When a UbiMap user uploads data into the application (e.g., CSV files) or by any other means, UbiMap systematically analyzes it to exploit the metadata related only to legal entities, solely for the purpose of improving the quality of its services.
UbiMap and the GDPR
The UbiMap software (installed on the UbiMap Client's computer or available through a UbiMap Cloud instance) is a processor that performs data processing on the controller's request, the user of the UbiMap solution.
Is it legal to source prospects or candidates?
When an organization (business or administration) or an employee affiliated with this organization actively searches the internet or other data sources (this action is called sourcing) for passive candidates or prospects, it performs personal data processing.
To process this data in compliance, the organization must follow the GDPR recommendations.
GDPR Basics
If your organization is looking for prospects or recruiting candidates and the data you process is for a specific, explicit, and legitimate purpose, your organization is in compliance with the GDPR. Since commercial prospecting and recruitment are considered legitimate activities related to your organization, you do not need explicit consent as long as you follow the recommendations mentioned above. However, it is important to note that this only applies in a professional environment and does not involve sensitive information that could harm the sourced individual.
Notifications – Transparency
The GDPR states that you must contact the individual "within a reasonable period after processing their personal data," ideally within one month. You must notify the individual that your organization has processed or is processing their personal data and provide details about it.
Control
The organization, or an affiliated collaborator, processing personal data must implement a mechanism that allows the sourced individual to access their processed data, correct it, and request its deletion.
Warning
The UbiMap software (installed on the client's computer or available via a UbiMap Cloud instance) is capable of scanning data on the websites visited by the UbiMap client and analyzing the match with the data contained in the footprint and provided by the UbiMap client.
Certain terms of use (TOU) on websites accessed and visited by the user of the UbiMap software prohibit analysis, extraction, reuse, modification, or interaction, either automatically or manually.
To avoid interruption or access restrictions to websites that contain these TOU, the UbiMap user must comply with these TOU and either partially or completely disable the software's execution or refrain from activating UbiMap while visiting these websites. This adjustment can be made in the settings available within the UbiMap software.
UbiMap cannot be held responsible for interruptions, access restrictions, or any other issues arising if the UbiMap user fails to comply with the TOU of these websites.
